How to Choose a Sales Dialer for Your Team

TL;DR: Choose a sales dialer by testing the complete rep workflow, from account context to the next owned action. Sales managers should verify calling mode, task behavior, CRM records, coaching access, regional coverage and total cost. Use a consistent demonstration checklist and your own requirements instead of selecting on a dial-speed promise alone.

What problem should the dialer solve for your team?

Start with the work the rep needs to finish, not the number of calls a sales page promises. Define whether the team needs contextual calls from a prospect record, a queue of assigned tasks or a more specialized calling operation. The right choice should support the conversation and the follow-up as well as the dial itself.

Write the requirements with the people who will operate the system. Reps should describe the context they need before calling, managers should define review and coaching needs, and RevOps should specify the CRM record that must exist afterward. Keep regional and administration requirements visible from the start.

Use this blank demo scorecard during the evaluation. Fill the observed result and owner columns only after your team performs the action and checks the outcome.

How should you compare calling modes?

Ask the vendor to demonstrate how the queue advances and how much control the rep retains. Product labels do not replace that demonstration. Check whether the rep can inspect context, skip an unsuitable record and handle a missing or invalid number without losing task history.

In Unify, Business Power dialer works through phone-call tasks or a list of people one person at a time. Optional autoplay starts the next call after a preview period. The rep can review the person and available context before the next attempt.

Verify the prerequisites and defaults in the workspace. Power dialer requires the relevant dialer setup, an assigned number and microphone access. Review number-selection and missing-number enrichment choices before enabling them, because an optional enrichment action should not become an unnoticed operating cost.

  • Context-heavy selling: Prioritize account detail and deliberate control before each call
  • Assigned call blocks: Prioritize queue visibility, task ownership and accurate completion
  • Specialized calling needs: Require a demonstration of the exact calling mode and country support
  • Mixed-channel teams: Check how call outcomes affect the surrounding sequence and manual work

Does the call create the right task outcome?

Test logging and task completion as separate decisions. A call record can exist while the call task remains open, and that may be intentional. The buyer needs to see how the rep expresses both outcomes without accidentally repeating or skipping work.

In Unify, logging a call outcome records its disposition. Using the task-completion action also finishes the current call task, and the workflow supports creating a follow-up task. Inspect the new task’s owner and timing instead of assuming a note creates future work.

Use the team cold-calling task guide to define what a complete operational handoff looks like. During evaluation, inspect a skipped person as well as a completed call. In Unify Power dialer, skipping a person leaves the call task open, which matters when reviewing unfinished work.

What should the CRM demonstration prove?

Require a readback in the actual CRM destination. A connected integration or successful call screen does not establish that the record landed on the intended contact and account. Verify association, outcome, notes and any review material your team needs.

Unify call activity CRM sync is available on Business and depends on the configured integration, rules, mappings and permissions. Inspect the resulting record after logging the outcome. If recording or transcript access is required, verify that it is available in the intended destination and accessible to the right reviewer.

Include an exception case using a record your team controls. Ask what happens when the person cannot be matched or the integration lacks a required permission. Do not approve the workflow based only on a clean demonstration that bypasses the associations your reps will use.

Can managers review and coach the calls?

Test the manager’s review path rather than accepting a recording checkbox. The manager should be able to locate the relevant interaction, understand the call context and give feedback that connects to the next rep action. Confirm access from the intended reviewer’s role.

Unify call recording uses administrator and regional controls, with recordings and transcripts available after processing when recording applies. Review the applicable setup with the responsible team; the existence of a recording feature does not establish that every call may or will be recorded.

Use a consistent coaching rubric during evaluation. The cold call coaching guide for managers helps separate the quality of the opening, discovery and next step. Keep that human review distinct from any automated summary or score a vendor supplies.

What should a cost worksheet include?

Build cost from your own operating requirements and the vendor’s charging definitions. Keep recurring access, numbers, usage and administration separate so the team can see what changes when its calling motion changes. Do not turn a trial’s activity into a forecast without checking whether it represents intended use.

Blank dialer cost worksheet
Cost inputWhat to obtain
Access and planRequired seats, edition and included calling features
Phone numbersIncluded allowance and additional-number charges
Call usageWhat counts as billable time and how it is rounded
Regional accessCountry availability, number requirements and beta restrictions
Optional enrichmentWhen missing phone data triggers a charge
AdministrationSetup, CRM mapping, support and ongoing review effort

For Unify, inspect dialer pricing for plan-based number allowances, additional numbers and connected-call usage. Connected voicemail can count as usage; ringing or unconnected attempts are treated differently. Confirm the definition before estimating the cost of your calling pattern.

Country scope also matters. Current pricing covers US and Canada calling and identifies UK, Germany and France as Business beta countries. Confirm availability for the specific workspace and intended country rather than treating beta coverage as general international access.

How should the buyer-run trial end?

End with a decision record covering the requirements that were actually demonstrated. This is a proposed evaluation procedure, not a report of a product test performed for this article. Keep unresolved requirements open with an owner and a specific next check.

  • Rep acceptance: The rep can understand the queue, make the call and resolve the task accurately
  • Manager acceptance: The manager can find the permitted review material and assign useful follow-up
  • RevOps acceptance: The correct CRM associations and fields are verified
  • Regional acceptance: The intended countries and number setup are supported for the plan
  • Cost acceptance: Charging definitions and optional actions are understood using your own inputs

Frequently asked questions

What should I look for in a sales dialer?

Look for a workflow that connects account context, calling, accurate outcomes, task completion and the next action. Then verify CRM behavior, coaching access, regional availability and total cost with a buyer-run demonstration using records you control.

Is a power dialer the same as a parallel dialer?

No. Unify Power dialer works through a queue one person at a time, with an optional preview and automatic start of the next call. Do not infer simultaneous calling from the term power dialer; ask each vendor to demonstrate its actual mode.

Can Unify create a follow-up after a call?

Yes. The call workflow supports creating a follow-up task after logging the outcome. Check the assignee, due date and relationship to the sequence; logging activity alone is different from completing the current call task.

Does CRM integration mean every call field syncs automatically?

No. Verify the configured integration, mappings, matching rules and permissions. Unify call CRM sync is available on Business, and the actual destination record and fields should be checked in your own workspace.

Does Unify support international calling?

Availability is region and plan dependent. Current dialer pricing covers US and Canada calling and lists UK, Germany and France as Business beta countries. Confirm country-specific access and requirements for your workspace before committing to an international rollout.

How should I estimate dialer cost?

Use your own expected seat, number, usage and administration requirements. Separate included allowances from metered charges and optional work such as enrichment. Request a written explanation of what is counted and reconcile it against a controlled trial before projecting a budget.
