Turn a product trial into a team conversation
Someone starts a trial. Find the manager whose team could use the product, check the account first, and draft a short introduction for review.
The conversation
Sample accounts and numbers, for illustrationYouFor these new trial signups, match each company to our CRM, check existing conversations and find a relevant manager or team lead. 3 checks · trial events, CRM and people search
- Read this week’s Trial started events: name, work email and company domain.
- Matched each domain to a CRM account for customer status, open opportunities, active sequences and owner.
- Searched the three unworked companies for managers and team leads whose role fits the product.
Five trials started this week. Two companies are already being worked, so they stay with their owners. The other three need a manager.
| Trial company | Signed up | In the CRM | Next step |
|---|---|---|---|
| Northwind Labs | Data analyst · Tue | No account | Find a manager |
| Merridian Systems | Engineer · Wed | Account, no owner | Find a manager |
| Brightpath Analytics | Analyst · Thu | No account | Find a manager |
| Halden Robotics | Engineer · Mon | Open opportunity · Marcus | Leave with Marcus |
| Lumen Freight | Analyst · Thu | Customer · Ana | Leave with Ana |
A signup says who started a trial and where they work. It says nothing about how the trial is going, so nothing here assumes it.
YouWho is the right manager at each of the three, and how sure are you?
One strong match, one likely and one to check. Every title fits the product; no reporting line is confirmed.
- 1Northwind Labs · Marco Reyes, Head of DataStrong
- 2Merridian Systems · Priya Nair, Engineering Manager, PlatformLikely
- 3Brightpath Analytics · two Analytics LeadsCheck
Responsibility is inferred from title and team. Brightpath waits until someone picks one of the two.
YouDraft the introduction to Marco. Keep it about the team, do not mention the trial, and hold it for review.
Here is the draft. It is about the team’s work, not about who signed up.
ToMarco Reyes, Northwind Labs
SubjectShared work across the data team
Marco, as data teams grow, queries and connections tend to end up on individual laptops, and the same analysis gets rebuilt twice. We help teams like yours keep that work in one shared place. Would a short look at how other data teams set it up be useful?
Set up
- Held for approval The draft waits for the owner to check the recipient and the wording. Nothing sends before then.
- Replies go to Sales A reply is tagged and routed to the account owner, and synced to the CRM.
Working a trial signup, with and without Unify
A trial tells you a company is curious. The team conversation happens with the person who runs the team.
| Without Unify | |
|---|---|
| Every trial gets the same nurture email, sent to the person who signed up | Each trial company is checked for a relevant manager or team lead |
| Nobody checks whether the company is already a customer or in a deal | Customers, open opportunities and active outreach go to their owner first |
| Managers are guessed from titles, with no note of how sure anyone is | Each suggested manager comes with the reason they fit and what is still uncertain |
| The email opens with "I saw you signed up", which is about you, not them | The draft is about the team's likely need, and nobody sends it before review |

What else you can ask for

How it changes by who you sell to
- Software
- Trials often come from an individual engineer or analyst. Ask for the manager who runs that function, such as the head of data or the platform lead, rather than an executive two levels up.
- Financial services
- A trial from one desk rarely speaks for the firm. Ask for the team lead in the same business unit, and leave risk and compliance out of the first note.
- Healthcare
- A trial from a single facility is a pilot, not a system decision. Ask for the manager at that site first, and keep the system office for later in the conversation.
- Education
- Trials start with one researcher or one department. Ask for the department head or lab lead, and write about the department's work rather than the institution's.

Questions about this workflow
Does the manager need to be a user?
No. The manager is usually not in the trial at all. The introduction is about what their team could do with the product, so it works whether or not they have heard of the trial.
How is the manager identified?
Unify searches the same company for the personas you describe, such as head of data or platform lead, and verifies contact details through the contact waterfall. Each suggestion comes with why the person fits, and a reporting line is labeled as inferred, never as confirmed.
What if Sales is already working the account?
The account is left to its owner. A customer, an open opportunity or an active sequence shows up in the CRM check, and no new outreach is drafted for it.
Does anything send automatically?
No. You approve each person and their draft before the sequence begins. Replies are tagged and routed to the owner, and sync to your CRM.
